Creating an event

How to set up and publish an event so members and supporters can find it and sign up.

When you publish an event, it gets a public page that members and supporters can find, read, and RSVP to. This doc walks you through building that page and putting it live.

Where to create an event

Open your workspace and go to Events in the left navigation. Select New event to open the event editor. The event is saved as a draft automatically, so you can return to it any time before publishing.

Owners and admins can create events, and so can any team member whose custom role includes Create new events. If you do not see New event, your role does not include it; ask an admin to add the permission. See Roles and permissions for your team.

Event fields

Fill in the core details on the event form:

  • Name -- keep it clear and specific so people know at a glance what they are signing up for.
  • Date and time -- set the start time and, optionally, an end time. If your event repeats on a schedule, see Recurring events instead. To split an event into volunteer timeslots, see Volunteer shifts.
  • Location -- choose in-person or virtual (paste a meeting link). For an in-person event, start typing the venue or street address in Search for an address or venue and pick it from the suggestions: the venue name, street, city, state and ZIP fill in, and a small map shows where the pin landed so you can confirm it before saving. You can still type or correct the address fields by hand; a changed address is placed on the map again when you save. The address appears on the public event page, in confirmation emails, and on the events map in the mobile app.
  • Description -- use this space to explain what attendees can expect, what to bring, and any other details they need ahead of time.
  • Cover image -- add a photo or graphic to make the event page more recognizable when shared.

Visibility and registration

Choose who can see and register for the event:

  • Public -- anyone with the link can view the event and RSVP, even without an account.
  • Members only -- only logged-in members of your organization can view and register.

You can also decide how registration works. The default is a simple RSVP (name and email). If you need to collect additional information such as dietary restrictions or t-shirt size, add registration questions before you publish. See Event registration questions for details.

Publishing and sharing

When the event is ready, select Publish. The event page goes live immediately and your members can see it in the Events section of your workspace. Until then the event is a draft: it does not take RSVPs, and only your organization's admins, team members whose role lets them edit events, delete events, or manage RSVPs, and the person who created it (while their role still lets them create or edit their own events) can see it. Team members who can only check attendees in cannot see drafts; once you publish, they can see the event, including a private one, to check people in.

Every published event has a shareable URL. Copy it from the event page and distribute it however makes sense for your audience: email, SMS, social media, or a link in your newsletter. People who RSVP are automatically added to your CRM as contacts, so your outreach and your records stay in sync.

Who can edit and publish

  • Edit any event in the organization lets someone edit and publish every event, drafts included, and gives them the Publish button on an event's page.
  • Edit only events you created lets someone edit the events they created themselves, and publish them with the editor or the Publish button on the event's page, and no one else's.

Owners and admins hold both. The creator of an event is set when the event is made and does not change afterward, whoever edits it later. A person who created an event but has since left the team, or whose role no longer includes an editing permission, can no longer change it. Creating an event on its own does not include editing it afterward, so a role that should keep working on the events it creates needs Edit only events you created as well.

Deleting an event

Every event page in your workspace carries a Delete button alongside Edit and Publish. Selecting it asks you to confirm by name, then permanently removes the event together with its registrations, shifts, and check-in records. There is no undo, and the public event page stops resolving immediately.

Why this matters

Events give supporters a concrete next step. A published event page with a clear date, location, and RSVP button lowers the barrier to showing up, and every RSVP becomes a contact you can build on for future outreach.
