Managing a recurring event series

How to view and manage the individual occurrences of a recurring event from the series page.

When you turn on recurrence for an event, OrganizeOS generates a set of individual occurrences from your schedule. Each occurrence is its own event with its own date and time, RSVP list, and capacity. They share a common parent but are otherwise independent: publishing one does not publish the others, and RSVPs for one do not count toward another.

The series page

Once a recurring event exists, open the event in your workspace and select Series from the event's navigation. The series page lists every occurrence that has been generated, sorted by start date from earliest to latest.

Each row in the table shows:

  • Occurrence: the date and time of that instance.
  • Status: one of Draft, Published, Past, or Archived, depending on whether the occurrence has been published and whether its start time has passed.
  • RSVPs: the number of RSVPs recorded for that occurrence.
  • Actions: an Open link that takes you to that occurrence's own edit page.

The series page requires owner or admin membership in your organization.

Opening and editing a single occurrence

Select Open next to any occurrence to go to its individual event page. From there you can edit its title, date and time, location, capacity, or description independently of every other occurrence in the series. Changes you make to one occurrence do not carry over to the others.

You publish an occurrence the same way you publish any event: from the occurrence's own event page. Each occurrence starts as a draft and must be published separately before it is visible to the public.

Series page limitations

The series page shows and links to occurrences. It does not offer bulk editing, bulk publishing, or bulk cancellation. No action on this page modifies more than one occurrence at a time. To change multiple occurrences, open each one individually.

A note on past occurrences

An occurrence whose start time has already passed shows a status of Past. It remains in the list so you have a record of it. You can still open it to review attendance or make corrections.

Why this matters

Recurring events let you build a consistent program, but each occurrence has its own audience, capacity, and lifecycle. The series page gives you a single place to see the full picture across all dates without losing the flexibility to treat each occurrence as its own event. You can catch publishing gaps, review attendance trends over time, and navigate to any individual occurrence in two clicks. Keeping your occurrence list up to date also helps members find the right date when they browse your public event calendar.
