Tagging contacts

Create, organize, and manage the tags you use to label contacts in your CRM.

On this page

Tags are the flexible labels you attach to contacts to mark anything worth finding or acting on later -- volunteer, major-donor, ward-3, or anything else that fits how your organization thinks about its people. For how tags compare to segments and where else they show up in the CRM, see CRM basics.

The Tags page

Open CRM, then Tags to see every tag your organization has created, how many contacts currently have each one, and which category it belongs to. Use the search box to filter by tag name, description, or category. Selecting the contact count for any tag jumps straight to that filtered contact list.

Creating and editing a tag

Click Create Tag and set:

  • Name -- required, shown on the contact record and everywhere the tag is used for filtering.
  • Description -- optional context for your team about what the tag means or when to use it.
  • Color -- how the tag displays as a label.
  • Category -- optional grouping. OrganizeOS suggests Engagement, Status, Source, Interest, and Custom, plus any category your organization has already used, or you can type a new one.

Edit or delete an existing tag from its row's menu. Deleting a tag removes it from every contact that has it -- this can't be undone, so use it deliberately rather than for a tag you might want back later.

Why this matters

Consistent tagging is what makes filtering, segmenting, and targeted outreach useful instead of guesswork. A shared set of tags -- rather than everyone inventing their own labels ad hoc -- means your whole team can find the same group of contacts the same way, and segments built on top of those tags stay reliable as your database grows.
