Event attendee broadcasts
How to send email or text announcements to an event's attendees, filtered by shift or RSVP status.
Once your event is published, you can send a targeted message to everyone who has RSVP'd. A broadcast is scoped to one event and delivered only to people with a matching RSVP record. It is distinct from your general email campaigns, which are not event-specific and draw from segments rather than RSVP lists.
Only workspace members with the owner or admin role can send a broadcast. To open the broadcast tool, go to Events, select the event, and choose Broadcast in the event navigation. The page shows a compose form and a history list of everything sent for that event.
Choosing recipients
Three recipient filters are available:

| Attending + waitlist | Attending RSVPs plus everyone currently on the waitlist |
| Specific shift | Only attendees assigned to one particular shift (shown only when the event has shifts) |
The count next to each option reflects the current RSVP state so you can see how many people match before you send. Recipients who have opted out of event broadcast emails are excluded automatically; you do not need to manage that list yourself.
Composing the message
Every broadcast requires a subject and a body. Both support template variables that are substituted per recipient at send time:

Email is always included. Check Also send SMS to add a text message. SMS is sent only to recipients who have a phone number on file and have not opted out of SMS notifications. You cannot send SMS without also sending email.
Sending
Broadcasts send immediately when you submit the form. There is no option to schedule delivery for a later time. Once sent, the message cannot be recalled. A rate limit applies per event; if you encounter it, wait a few minutes before sending again. Each broadcast reaches up to 10,000 eligible recipients per send; if your list is larger than that, contact support before sending.
Broadcast history
The History section below the compose form lists every broadcast sent for this event, newest first. Each entry shows the subject, the time sent, the total recipient count, and delivery counts for email and SMS including failures. Use this to confirm a message went out, check delivery problems, or review what was sent before composing a follow-up.
Why this matters
Timely, targeted communication is one of the biggest factors in event turnout and no-show recovery. Because broadcasts draw from live RSVP data, your messages reach exactly the right people without manual list management. Opt-out handling is automatic, so you stay compliant without extra steps. Combining email and SMS in a single send means you can reach attendees on the channel they are most likely to act on, especially for same-day reminders or last-minute logistics changes.
