Checking attendees in
How to use the day-of check-in screen to mark attendees as arrived and track no-shows after the event.
On this page
When your event is underway, OrganizeOS gives you a check-in screen to record who actually showed up. The data carries into your follow-up: thank attendees, reach out to no-shows, and measure how many RSVPs converted to attendance.
Opening the check-in screen
From your workspace, open the event and select the Check-in tab. The screen lists every registrant with a button to mark them as arrived. It is touch-friendly and works on a phone, so a volunteer at the door can run it without a laptop.
Who can check people in
Owners and admins can, and so can any team member whose custom role includes Check attendees in at events. That permission covers checking someone in and undoing it, on the Check-in tab, on the check-in buttons of the event's RSVPs tab (which appear only for people who hold it), and on the mobile app's door check-in. A team member without it cannot check anyone in. Someone who holds only that permission can open the organization's published events, private ones included, but not its drafts, so an event appears for check-in once it is published. The Check-in tab also opens for team members whose role includes Manage RSVPs for events; they can see who has arrived, but recording an arrival takes Check attendees in at events. See Roles and permissions for your team.
Marking attendees as arrived
Find a registrant by scrolling or typing a name. Tap or click Check in to record their arrival. OrganizeOS logs the time and the staff member who performed the action. Checking someone in records their arrival only; it does not change their RSVP status. You can undo a check-in if you tapped the wrong person.
If the person holds exactly one volunteer shift on the event and you check them in between two hours before that shift starts and the time it ends, their shift is also marked Worked on the event's Volunteers tab. This works from the Check-in tab, the RSVPs tab and the mobile app's door check-in. See Shift confirmations and attendance.
Tracking no-shows
There is no separate step to close an event. Any registrant who has not been checked in is treated as a no-show, and you can see that breakdown on the event's registration table at any time -- during the event or after it. Check back once things have settled down and correct any false negatives before sending follow-up messages.
The broadcast composer can filter by attendance status, so you can send a thank-you to attendees and a separate "we missed you" message to no-shows in two quick sends.
Why this matters
Check-in turns your RSVP list into a verified attendance record. That record improves future outreach (you know who follows through), helps you right-size future events, and gives you the data to close the loop with everyone who expressed interest.
