Meeting transcripts and summaries

Transcribe a meeting so every speaker is named and every line is timestamped, and get an AI summary of what was decided.

A transcribed meeting produces two things: a transcript with every speaker named and every line timestamped, and a short summary of what the meeting covered and what came of it. Someone who missed the call can read the summary in under a minute and check the transcript for anything that matters.

Transcription is included in the Core plan and above, and it needs recording turned on for the same meeting.

Turning transcription on

Transcription is off unless you ask for it. Turn it on when you schedule:

  1. Go to Meetings and select Schedule.
  2. Under Options, turn on Recording.
  3. Turn on Transcript and summary.

The switch stays locked until recording is on, because the transcript is the record of a recorded call. On a plan without transcription the switch is locked off with a link to your plans; see Billing and your plan.

You can also turn transcription on for a meeting you already scheduled, from the meeting's Edit form, as long as that meeting is being recorded.

On the phone, the same two switches are on the New meeting and Edit meeting sheets.

During the call

Everyone in the call sees a notice while transcription runs, on the web and in the mobile app. Recording and transcription are named separately in that notice, so people can tell which one is happening.

You do not have to start it. A meeting scheduled with transcription on begins transcribing by itself a moment after the host joins. The switch you set when scheduling is the instruction.

A host or co-host can still stop and restart it during the call:

  • On the web, open the settings menu in the call bar and choose Transcribe.
  • On the phone, open the Manage sheet and use the Transcript panel.

Stopping transcription ends that transcript, and it stays stopped. If you start it again later, the meeting produces a second transcript, and the meeting page shows the most recent one.

If transcription cannot start, the host sees a message saying so, rather than the meeting quietly producing no transcript.

Reading the transcript and the summary

Both appear on the meeting's page once the call has ended and the transcript has been processed. This takes a few minutes after a long call.

  • Everything in one place: Meetings then Recordings & transcripts lists every meeting that produced a recording or a transcript, newest first.
  • On the web, open the meeting from Meetings and scroll to Summary and Transcript. Consecutive lines from one speaker are grouped into a single turn, with the time that turn started.
  • On the phone, open the meeting and tap Read the transcript. The summary sits above the transcript on the same screen.

The summary has three parts: a short description of the meeting, the key points, and any action items where the transcript says who committed to what. It is written by AI from the transcript, so check anything you are going to act on against the recording.

Whoever could have attended the meeting can read its transcript. That is the same rule recordings follow: the meeting's creator, members of your organization when the meeting is open or team-wide, anyone invited, and anyone who actually joined.

What it costs

Transcription is billed per transcribed minute against your usage balance, whoever is speaking. A meeting that runs an hour with transcription on costs an hour of transcription, not an hour per participant. The summary is included in that price.

Your plan's monthly usage allowance covers transcription before your balance is charged. That allowance is shared with your other usage, such as email and text messages, so what it covers depends on what else you have sent that month.

When something goes wrong

  • Transcription failed. The meeting page says so rather than showing an empty transcript. The recording is unaffected and the replay still works.
  • The summary could not be generated. The transcript is still there and still readable. Only the summary is missing.
  • No speech was transcribed. Transcription ran but nobody spoke while it was on.

What transcripts do not do yet

  • Speaker names come from the display names people joined with, and cannot be corrected afterwards.
  • There is no transcript export or download.
  • There are no live captions during the call.
  • Transcription is English only.
