Billing and your plan

Getting startedUpdated October 3, 2026

Review your subscription, track usage against plan limits, update your payment method, and read invoices.

On this page

Your organization's subscription, usage, payment method, and invoice history all live in one place. Open Settings, then Billing in your workspace sidebar. Owners and admins can view and change billing; other roles can't reach the page.

Current plan

The Current Plan card shows your plan name, billing cycle (monthly or annual), price, contact and team-seat limits, and (if applicable) a platform fee percentage on transactions. If your plan includes any active add-ons, they 're listed underneath with their own price. If your organization renews on a period, the next renewal date is shown here too.

A team seat is anyone active in your organization with a role above member: the owner, admins, and anyone with a custom role. Inviting someone into one of those roles, promoting a member, and restoring a removed admin or custom-role holder each need a free seat. When your plan has none left, you're told so, and you can free a seat or upgrade first.

Usage

Below your plan, the Usage section covers the metered services your organization pays for as it goes: email sends, SMS segments, phone minutes, video participant-hours, transcription minutes, and the advisor. These have no per-service limit. Each one is paid from your plan's monthly usage allowance first, then from your prepaid balance, at the per-unit price shown on its card.

Everything in the section is framed on the calendar month. Three figures sit at the top: what you have spent so far this month, how much of your monthly allowance is left (on plans that include one) and when it resets, and your prepaid balance. Below them, each service you have used this month gets a card with the amount used, what it cost, and a day-by-day chart for the month. Services you have not touched are listed in one line at the bottom. When both the allowance and the balance run out, metered features pause.

The advisor is metered in one of two ways, and the Usage section shows each under its own name. Advisor tokens count every piece of text the advisor reads and writes at one price. Advisor usage is counted in credits and prices each question by the work it took: text the advisor writes costs more than text it reads, and text it read recently and can reuse costs a fraction of reading it fresh. Either way, each question is charged once, for what it actually used, including when the advisor could not finish its answer.

Before each question, the advisor checks that your allowance and balance can pay for the most that question could cost, which is several times what a typical question uses. So it stops answering while some balance is still left; add to your balance to keep going. Where the advisor is charged in credits, that most is the same fixed amount for every question, and the advisor wraps up its answer as a question nears it, so the question stays within what was checked.

A service that counts against a fixed plan quota instead shows the quota, a progress bar, and whether usage stops or slows at the limit.

Payment method

The Payment Method card shows the card on file (brand, last four digits, and expiration) or, if none is set, an Add button that takes you to the plans page. To update or replace the card, use Update in Stripe (or Manage billing elsewhere on the page) -- both open Stripe's secure Customer Portal, where you can change your card or view its billing history without leaving a card number with OrganizeOS support.

Invoices

The Invoices section lists past billing periods with the amount charged and a status badge (Paid, Open, Void, etc.). Each invoice with a generated PDF has a link to download it. Use the pagination controls at the bottom to page through older invoices.

Changing your plan

Click Change plan to open Plans & Power-ups, a grid of available tiers with a monthly/annual toggle and a feature list per tier. Buttons update based on where a tier sits relative to your current plan:

  • Upgrade opens an in-app checkout where you add payment details; the new tier starts as soon as the payment goes through. If your organization already pays for a plan, Upgrade opens the Stripe Customer Portal instead, where Stripe switches your plan and adjusts the charge for the rest of the billing period.
  • Downgrade opens the Stripe Customer Portal, where Stripe walks you through proration for the change.
  • Your current tier shows as Current plan and can't be clicked.

Why this matters

Knowing where your organization stands against its plan limits before you hit them lets you upgrade on your own timeline instead of getting blocked mid-send. Keeping your payment method current avoids a lapsed subscription interrupting your outreach, and having invoices on hand in-product means your team doesn't have to dig through email for a copy when you need one for reimbursement or bookkeeping.
