Exporting your data

Where each CSV download lives across contacts, members, events, RSVPs, and walk lists, what lands in each file, and which data has no export.

Each export lives in the tool that owns the data, as a button on the page you are already looking at. You click, and a .csv file downloads to your computer immediately. There is no emailed link, no queued job, and no export history to go back to.

There is no one place that exports everything. The Export Data card at the bottom of the Reports page looks like one — it offers Members CSV, Donations CSV, Events CSV and Email Stats CSV — but none of those four buttons download a file. Use the per-tool exports below instead.

Contacts

Contact exports need the Export contacts to CSV permission. Without it the Export buttons below do not appear; ask an owner or admin to grant it, see Roles and permissions for your team. Every contact export is recorded in your organization's audit log with who ran it and how many contacts it held.

Open CRM, then All Contacts, and select Export in the page header. It opens the Export Contacts page:

  • Filter by Segment chooses whose rows go in the file: All Contacts, or one of your segments. The search box and filter chips on the contact list do not carry over.
  • Select Columns chooses the columns, from Full Name, Email, Phone, Status, Lifecycle Stage, Engagement Score, Tags, Is Donor, Is Recurring Donor, Lifetime Donations, Donation Count, Events Attended, Events Hosted, Volunteer Hours, Address Line 1, Address Line 2, City, State, ZIP Code, Country, Acquisition Source, Acquisition Date, Last Engagement, and Created At.
  • The button at the bottom says how many contacts the file will hold, and downloads contacts-<segment>-<date>.csv. If the export fails you get "Could not export contacts" and no file.

For a smaller slice, tick the checkbox on one or more rows. A bar appears above the table with Export alongside the other bulk actions, and it downloads only the contacts you ticked, up to 10,000 at a time.

From CRM > Segments, opening a segment gives you an Export in its header that downloads every contact in that segment as <segment-name>-contacts.csv, with all the columns above. It is greyed out while the segment is empty. Segments themselves are covered in Contact segments.

A cell that starts with =, +, - or @ is written with a leading apostrophe, so a spreadsheet shows it as text instead of running it as a formula. Numbers and phone numbers are left as they are.

Members

Open People, then Members, and use Export in the header. You get <workspace>-people-<date>.csv covering every active member: Full Name, Email, Phone, Permission Role, Worker Role, Joined At, Last Activity, Total Hours, City, and State. The two date columns are plain year-month-day values, so they sort correctly. Last Activity and Total Hours are filled in only when your role can also view members; for a role that can export the list but not view members, those two columns are left empty. The search box and the role filter on the page do not narrow the file — it is always the full active roster.

This button only appears for roles granted Export the member list. If you cannot see it, ask an owner or admin to grant that permission; see Roles and permissions for your team.

Events and RSVPs

On the Events page, Export CSV in the header downloads the events you are currently looking at, so the search and filters on the page do carry through. Columns are Title, Type, Start, End, Location, City, State, Capacity, RSVPs, Status, and Visibility. Start and End are stamped in each event's own time zone rather than yours. The button is available to owners, admins, and team members whose role can edit any event or delete events, and is hidden while the list is empty.

Open an event and go to the RSVPs tab for its registrations; the tab and its export are open to owners, admins, and team members whose role includes Manage RSVPs for events. Export CSV sits at the right of the filter row and downloads name, email, phone, status, shift, shift role, waitlist position, and RSVP time, followed by one column for each registration question you added to the event. Answers to multi-select questions are separated by a vertical bar, and someone signed up for more than one shift gets one row per shift. The Shift and Role selectors above the table do narrow the file; the status filter and any text search in the table do not, so the export can contain more people than the table is showing. Walk lists

Open Canvassing, then Walk Lists, and tick the checkbox on the lists you want. Export appears in the selection bar beside Archive and Delete — the checkboxes are where a walk list export runs. The Export CSV entry in a single list's row menu does not download anything. One file, walk-lists-export-<date>.csv, covers every list you ticked, ordered by list and then by route order, with Walk List, Order, Address, Address 2, City, State, Zip, Voter ID, Contact Name, Contact Email, Contact Phone, Status, Attempts, Last Result, and Last Attempt.

You can export up to 50 walk lists at once, and you need the Export canvassing data permission; without it the download is refused with an "Export failed" message. If the lists you ticked have no entries, you get a "No entries" notice instead of a file. For building the lists, see Walk list setup.

What has no export

  • Donations. There is no donation export. The Export CSV buttons on the Fundraising Transactions and Donors pages, and the Donations CSV button on Reports, do not produce a file. See Donation records.
  • Dues. The dues roster has no download; see Membership dues.
  • Databases. Records are entered and read in the grid only; see Databases.
  • Suppression lists. No export; for everyone matching a filter, use the contact export above. See Email suppression.

Why this matters

Knowing which button gives you everything and which gives you only what is on screen is the difference between a mailing that reaches your whole list and one that reaches the 25 rows a filter happened to be showing. When the file has to be complete, use the header export on All Contacts or Members; when you want a slice, narrow the page or select the rows first, and check that the export honours it.
