Email settings
How to control which transactional emails your organization sends, add optional custom messages, and set a shared footer and reply-to address.

Email settings control the transactional emails your organization sends — things like a welcome message when someone joins, an RSVP confirmation, or a donation receipt. This is separate from email campaigns, which you compose and send yourself; transactional emails go out automatically when the triggering action happens.
Getting there
Open Outreach in the workspace sidebar, then select Email settings under Setup. Only owners and admins see it, and only on the Core plan and above. On a lower plan, find these same settings under Administration, then Email.
Which emails your organization sends
Emails are grouped by what they relate to: Members, Events, Meetings, Donations, and Engagement. Each email in a group has a switch:
- Emails you can turn off show an on/off switch you control, for example a welcome email to new members or a reminder before an event.
- Some emails are marked Always on and cannot be turned off, because they confirm something the recipient needs to know, such as an RSVP confirmation, an invitation to join, or a donation receipt.
Custom messages
Some emails let you add an optional custom message — a short note that appears inside that specific email, alongside its standard content. Emails that do not support a custom message show only their on/off switch.
Footer and reply-to
Two settings apply across every transactional email:
- Footer text is added to the bottom of every email you send. Use it for information like your mailing address.
- Reply-to address is where a recipient's reply goes if they respond to one of these emails.
Saving changes
After adjusting any switch, custom message, footer text, or reply-to address, select Save changes. Your changes are not applied until you save.
Previewing an email
Use the preview picker to choose any email type and see a live preview of how it will look, including your current footer text. The preview updates automatically a moment after you make a change, so you can check your wording before saving.
Where your branding comes from
Your logo, accent color, and display name in these emails come from your organization's brand, not from a setting on this page. See Your brand: logo, colors, and name to update them.
Why this matters
Transactional emails are often the first and most frequent messages your members and supporters see from you, so getting the footer, reply-to address, and optional notes right helps every one of those moments feel intentional rather than automated. Turning off emails your organization does not need keeps inboxes free of noise, while the always-on emails stay in place to make sure no one misses a confirmation they are relying on.
