The referrals report

See which members bring people in through their own share links, what each link led to, and release or void sign-ups that need a look.

Members can share your organization's public pages with their own links (see sharing and your impact). The referrals report shows what those links led to: who signed up, came to an event, worked a shift or gave, and through whose link.

Links come from three places: a member's Share and invite page in the member space, the thank-you email a member gets after a volunteer shift, and the Send them the shift link message on a volunteer debrief, which carries your own link.

Opening the report

In the workspace sidebar, open People and choose Referrals. You need access to the staff workspace and the View contacts in the CRM permission (see roles and permissions); without it the entry does not show.

Pick the window at the top right: 7 days, 30 days (the default) or 90 days. Everything on the page counts what was recorded in that window, meaning when the person signed up, registered or gave through a link, except held sign-ups (below), which show whatever the window. With nothing in the window and nothing held, the page says so and offers Show the last 90 days.

Outcomes

The Outcomes card totals the window:

  • People brought in: people new to your organization who signed up, came to an event or worked a shift through a member's link. Someone brought in through two members' links counts once here.
  • Sign-ups, Attended, Shifts worked and Gifts: outcomes that have counted.
  • Gifts, net of refunds: the total given through members' links, less refunds. It shows only to people who can view every donation or view donation analytics; everyone else sees the number of gifts without amounts.

What counts is the same as members are told:

  • a sign-up counts once the person confirms their email address, when the form asks them to, or three days after signing up, and only for someone who was not already in your contacts and whose email has not bounced;
  • event attendance counts when the person is checked in at the event;
  • a shift counts when the person is marked Worked;
  • a gift counts when it is paid, the first payment only for a recurring gift, and stops counting when refunded in full or lost to a dispute.

A member's own sign-ups and gifts through their own links never count.

Top sharers

Top sharers ranks up to 50 members whose links led to something in the window, by people brought in, then by the other outcomes that counted. A member with held sign-ups is always listed too, after the top 50 if need be. Each row shows People brought in, Sign-ups, Attended, Shifts worked, Gifts, Net gifts (with the same donation permission as above) and Held, which counts all of the member's held sign-ups, whatever the window. A member whose account was deleted shows as Deleted member, and what their links brought in still counts.

A member's badge sits next to their name: Brought in 1 person, Brought in 5 people or Brought in 10 people. Badges count everyone the member has brought in to your organization, not only this window, and count people, never gifts or money. The member sees the same badge on their own Share and invite page.

Select a member's name to open their held sign-ups first, from any date, then their outcomes in the window, newest first (up to the newest 100): what happened (Sign-up, Attended an event, Worked a shift or Gift), the person's name, linked to their contact record, the date, and a status:

  • Pending: not settled yet, such as a sign-up waiting for its email confirmation or its three days, or a registration before the event.
  • Credited: it counts.
  • Held: a sign-up waiting for your review (below).
  • Reversed: a gift refunded in full or lost to a dispute.
  • Void: it did not happen or does not count, for example nobody was checked in within a week of the event, the volunteer was marked a no-show, or the person's contact was deleted.
  • Voided by staff: someone on your team voided it.

Already a contact marks someone who was in your contacts before. A gift shows its amount, and any refund, to people who can view donations. A person whose contact was deleted or merged shows as Someone.

Held sign-ups

When one member's links bring in more than 20 sign-ups in a day, the rest are held so nobody can climb the rankings with fake sign-ups. A banner says how many are held. A held sign-up is one that would count now but for that limit: from someone new to your organization, past its three days or confirmed by email when the form asks for that, whose contact still exists and whose email has not bounced. The first 20 of a day are never held; they count at the next daily update.

Held sign-ups wait until someone releases or voids them. Nothing releases them on its own, so they show whatever window you pick, at the top of the member's outcomes.

To let them count, open the member's outcomes and select Release on one, or Release N held sign-ups to release every held sign-up of that member, including any older or further down than the list shows. Releasing needs the Edit any contact in the CRM permission. A sign-up that stopped being held in the meantime, for example because the contact was deleted, is left as it is, and the message says how many were released.

Voiding an outcome

If a sign-up, registration, shift or gift should not count, for example a test entry or someone the member signed up without asking, select Void on it and confirm with Void credit. Voiding needs the Edit any contact in the CRM permission. A voided outcome stops counting at once, in the report and, from the next daily update, on the member's own page, and it cannot be restored: nothing that happens later, such as a check-in or a Worked mark, brings it back. Voids and releases are recorded with who made them.

On a contact's record

A contact's record shows, under Details:

  • Brought in by and the members whose links brought this person in (a sign-up, attendance or shift that counted).
  • Brought in 1 person or Brought in N people, when this contact is a member whose own links brought people in.

Nothing shows when neither applies.

What members see

Members see their own figures on their Share and invite page, updated once a day: how many people they brought in, the first names of those people, and gifts only as a number once there are three or more. They never see amounts of money or who gave:

  • someone whose first step through a member's link was a gift is never named to that member, even when they were not yet in your contacts when they gave and signed up or registered through the link later;
  • someone with an OrganizeOS account who turned off Show me on leaderboards appears as Someone, including when their contact came from one of your public forms with the email address of that account.

Why this matters

Most new supporters come because someone they know asked them. This report shows which members are doing that asking, so you can thank them, learn what they share, and ask more of your members to do the same.
