Automated event communications
See every message the platform sends for your event, turn individual sends off, and edit their wording.
When you publish an event, the platform schedules a set of automated messages for you: reminders before the event and follow-ups after it. The Communications tab on your event shows all of them in one place, so you always know exactly what your attendees will receive and when.
What gets sent
For a published event with automated reminders on, attendees receive:
- Day-before reminder: includes a one-tap link for attendees to confirm they are still coming
- Day-of details: for virtual events, this is where the join link arrives
- Starting-soon note: shortly before start time
- Post-event feedback ask: about an hour after the event ends
- Suggested next events: a few days later, personalized to the attendee
Messages go out by email, plus text message for attendees who opted in to texts. Times in every message are in the event's time zone. Attendees see this same schedule on their RSVP confirmation, so nothing arrives unannounced.
The day-before reminder email's I'll be there and Can't make it buttons open a page that shows the event and asks the attendee to press a button; just opening the link changes nothing.
Volunteers who signed up for a shift get two messages instead of this list: a message the day before that asks them to confirm, and one on the day with where to go. Each goes by text if they opted in, otherwise by email. The day-before reminder and day-of details switches below apply to those two messages. See Shift confirmations and attendance.
Turning a send off
Open your event and choose Communications. Each scheduled send has a toggle; switch it off and that message will not go out for this event. Sends that already went out are shown with their sent time and cannot be changed.
Turning a send off and editing its wording are open to owners, admins, and team members whose custom role includes Manage RSVPs for events; see Roles and permissions for your team. Unpublishing an event and publishing it again does not add a second copy of a message that is waiting to go out. If you changed the event's date or time while it was unpublished, publishing it again moves those scheduled messages to the new times and keeps any wording or off switch you set. Events that were republished before this change can still show a doubled message; switch off the extra copy with its toggle.
Changing the date or time of an event that is already published does not move its scheduled messages; they keep the times set when the event was published.
Editing the wording
Choose Edit on a scheduled send to change its subject and message before it goes out. Keep it plain text. This is useful for adding parking notes to the day-before reminder or a specific thank-you to the feedback ask.
What is not configurable here
Some messages are part of how RSVPs work and always send: the registration confirmation, waitlist promotion notices, cancellation notices (with your note), and the weekly events digest for members who opted in. For one-off announcements to your attendees, use broadcasts.
